AI meeting notes without a bot joining the call
Nobody wants a robot in the participant list. Here's how the bot-free tools work, and which one fits which situation.
Short answer: tools that read your computer's own audio — Oats and Granola are the two best known — produce notes without ever joining the meeting. Nothing shows up in the attendee list because nothing connects to the meeting at all.
Why the bot bothers people
A recording bot is a visible third party. It shifts the room: people hedge, stop thinking aloud, and save the useful sentence for after the call. It also forces a conversation about a vendor nobody in the room chose, at the exact moment you wanted to start.
And it fails in boring ways. Many corporate Zoom and Teams tenants block unknown bots, so the notes you were relying on silently never happen.

How device-audio capture actually works
Since macOS 13, the system provides ScreenCaptureKit, which lets an application read the audio macOS is currently playing. Pair that with ordinary microphone access and you have both halves of the conversation: their voices from the speakers, yours from the mic.
That's why macOS asks for screen recording permission for something that only wants sound — system audio capture lives behind the same gate. It's the one genuinely confusing part of setup, and it isn't the app being nosy.
Oats then mixes the two streams with level-based ducking so neither side drowns the other, and runs voice activity detection so only actual speech reaches the transcription model.
No bot is not the same as no disclosure

In practice most people say a version of “I take AI notes, all of it stays on my laptop — any objection?” That sentence is easier to say when it's true.
Which should you pick
- Sensitive or regulated conversations: local processing, so the recording never becomes someone else's asset.
- Team workflows, CRM sync, shared libraries: a cloud tool will serve you better. That's genuinely what they're for.
- Occasional calls: record and transcribe afterwards; you don't need a dedicated app.
